Views & filters

Views & filters

Filter any list by property, then save the configuration as a view — personal or shared, on its own page, a favorite in the sidebar.

A view is a saved way of looking at todos: which lists, which filters, how they are grouped, sorted and laid out. Views live in the sidebar’s Views section and on their own pages.

Filters

Press F — or click Filter in the header — and pick a property and its values from a searchable list. Each filter becomes a chip under the header, read as property · operator · values; click any segment to change it, or the × to remove it. ⇧ F removes the last filter.

  • Priority, Status, Assignee (Me, Unassigned or a member) and List (on views) take is / is not
  • Label takes includes any of, includes all of or excludes
  • Due date offers Overdue, Today, Tomorrow, This week and Next 7 days, or is before / is after a date
  • Blocked is yes or no

Filters combine with AND; values within one filter with OR. A subtodo that matches stays under its parent. Once filters are set, the Filter button shows their count and folds the chip row away or back; the filters keep applying while folded. ⌘ F is different: it finds todos by text, without saving anything.

Saving a view

With filters set on a list, Save as new view… in the filter bar’s Save menu snapshots the filters, grouping, sort and display. Or start from the sidebar’s + or the Views page’s New view, which offers presets: Blank, or Today, Upcoming, My todos and Overdue templates that bring their filters and grouping. New workspaces come with those four as shared views.

A view opens at Views › name. Changes you make there are held as a draft — the header says edited — until Save changes or Discard; a reload drops the draft. Because a view spans lists, it has no manual order; create a todo there and it lands in the filtered list, or the Inbox.

Personal and shared

A view is yours until you Share with workspace from its ⋯ menu; Make personal takes it back. Only the owner (or an admin) saves changes to a shared view — other members can adjust it for the session, favorite it and place it in their own sidebar order. The Views page groups views into Favorites, Personal and Shared. Deleting a view can be undone from the toast or with ⌘ Z.

Grouping and empty groups

Group by Priority, Status, Due date, Assignee or Label gives each group a header with its symbol, a count and a + that files a todo into it. Drag headers to reorder groups; Reset order in the Group by menu restores the default. On a view page, every group its filters admit stays on screen even when empty, so columns do not jump as rows come and go.
